Rescheduling/Relocating a Single Class
Top  Previous  Next

To permanently move, or reschedule, a single class (or a set of classes), you need to cancel the classes being rescheduled, then create a new class for that period (see Adding / Changing Class Times).

However, you can use this method if you want to just relocate a single class. For example, you have been informed that the school hall will be unavailable for the next two lessons due to school functions and you arrange to hold the class in a different room.

You can achieve this in 3 different ways, either:

chiclet Ignore the difference and record attendance against the normal class (if no difference in rent, etc).

If you ignore the change this is the simplest solution, however, the historical information in your reports will not be correct, and you may not remember the fee difference for rental of the premises. For these reasons, it's advisable to cancel the class in the system and use one of the other methods below.

chiclet Cancel the class and record attendance against the other class they are attending

If you record the attendance against the other class, you will not be able to report accurately how many of your students effectively turned up for those classes. This may not be a problem for you.

chiclet Cancel the class and create a new class for you to record them against (Recommended).

This takes a little longer to set up, but it more accurately records the information for the day. You can record the attendance against your venue, simply add a room entitled "External" or "Other Centre" or even "Combined class at Other Centre" etc. With a zero cost room fee. Then your students will still be recorded as attending the class, and the rescheduled class will be accurately recorded. If there is a fee for this class, then it is advisable that the fee collector have the student entered on thir system, and the other instructor either removes the class fee, or deletes it/sets it to $0 when they add the students attendance.
