The New Contract Window

The New Contract Window allows you to record a new signed contract for a Contract Requirement. When opened, the window is pre-populated with the settings you have specified against the contract requirement, including the people covered by the contract, the start and end dates and the available payment options.

This window is available from the Sign New Contract button on the Contract Requirement Editor Window.

There are a few things to know about this window. The contract type, bill to, and Members settings are locked. They are determined by the Contract Requirement. If they are not correct, you need to change the Contract Requirement before invoking this window.

The contract period start date is automatically set according to the rules for the contract type. The end date is then also set according to the configured duration of the contract.

If you change the start date, then the end date is updated according to the configured duration of the contract type. You are, however, free to change the end date. So to cover a different period you should first set the start date and THEN set the end date.

The Payment Tab list is updated automatically when any of the start/end dates of the contract period, or the payment option is changed. This gives a projection of the scheduled payments to confirm before signing the contract.

The Uncovered Dates list box only displays training dates that remain uncovered but NOT those in the period this new contract will cover. This means that if you open this new contract setup window and know there are dates not covered, but they are not displayed, then the period that is defined above has covered those dates. Uncovered Dates are warnings shown by Martial Class™ for times a student has trained without a signed contract when one was required. If there still remain some uncovered dates, they will appear here and the label will appear in red - Uncovered Dates:. You are still able to mark this contract signed, in this case, but you should consider covering all dates required by extending the contract, otherwise these uncovered dates will continue to show up as Contract Warnings.

You can use the clip0040 checkbox to show all currently uncovered dates, regardless of whether they will be covered by this new contract or not.

Lastly, the Conflicting Contracts Tab list displays any other signed instances of this particular contract that clash with this new contract.

Martial Class™ does not allow more than one signed contract covering the same contract requirement to overlap. So if this list is not empty, the label will appear in red - Overlapping Contracts:
- and the OK button will be disabled. If you need to terminate one of those contracts in order to replace it with a new contract, you can simply double-click it in the list box to bring up the Contract Modification Window.

The Overlapping Contracts list is useful also in the case that a student comes in to sign a new contract. By setting the From date back in time, you immediately get shown the previous contract end date. This allows you to set the From date for this new contract to the day following the previous (or current) contract.
